Tasks

A task is work waiting on a person. Some tasks RezetHub raises on its own from what is on the record, such as a consignment waiting to be received. Others somebody asked for.

A task is workflow, not evidence. It is not on the chain of custody and never reaches a passport.

  • The Tasks page, headed What needs a person. Open it from Open your tasks on the home page, or from a notification.
  • Needs you on the home page lists the first few things waiting on you, each with its next step.
  • Tasks on this record: a panel on every batch, run and consignment page, listing the tasks about that record.

Tasks are available in every organisation.

At the top of the Tasks page:

  • Mine shows the tasks given to you personally and the tasks given to your role. Supervisors and administrators also see Everyone, every open task in the organisation. The number beside each counts open tasks; past 1,000 it shows 1,000+.
  • Open and Done switch between tasks still waiting and tasks already closed, most recently closed first.
  • Each task is marked as either from the record (⟳) or asked for (◷).

Each task shows its title, the records it concerns, who it goes to, when it is due, and a flag if it is High priority. Open one to see its State, Due, Goes to, Raised, Records it concerns and What was written on it.

State Meaning
New Raised or given to someone, and not yet opened by them.
Read The person it goes to has opened it.
Overdue Its due passed while it was still open.
Done Marked done, or the record cleared it.
Archived Taken off every list by a supervisor or administrator.

When a task is given to someone else it starts again as New for them. Moving an overdue task’s due to a later time takes it out of Overdue.

Button What it does Who sees it
Take it Takes a task given to your role and makes it yours. It leaves the other role holders’ lists. Anyone holding that role or a more senior one.
Mark it done Closes the task. The person or role it goes to.
Decline — say why Hands the task back with a reason. The person or role it goes to.
Change the due Sets a new due date and time. Supervisors, administrators, and whoever asked for the task.
Archive Removes the task from every list, with a reason. Supervisors and administrators.

A task given to a role, such as Whoever holds Operator, belongs to everyone in that role. Any of them can mark it done without taking it first. Take it is optional: it says I am on it and moves the task to you alone. Either way, RezetHub records who did it.

Decline — say why opens Hand “…” back?. Write Why you cannot do it, then press Send it back, or Keep it to keep the task.

  • A task somebody asked for goes back to the person who asked. If they have left the organisation it goes to the supervisors.
  • A task from the record goes to the role the rules name for it, or to the next role up if that is the role you hold.

What you write is a note on the task. It is not part of the record.

Archive asks Why, from four reasons: No longer needed, Already on the list, Handled outside RezetHub and Raised in error. Then press Archive, or Keep it.

You can always mark a task done by hand. If the record raised it and the reason still holds, for example the consignment still has not been received, RezetHub raises it again as New on its next check, within about 15 minutes. When the reason clears, RezetHub closes the task by itself.

The Ask somebody form sits beside the list on the Tasks page. On a record’s page, use Ask somebody about this in its Tasks on this record panel; the form then already knows the record.

  1. Against which record: type a batch, run or consignment code and pick it.
  2. What needs doing: a short sentence, up to 200 characters.
  3. Who: a person or a role. Only supervisors and administrators see this field. An operator’s task goes on their own list.
  4. By when: a date and time in your facility’s time zone. Leave it empty for the end of tomorrow.
  5. Priority: Normal or High.
  6. Press Assign it.

The person or role sees it straight away. A task can only go to a member of your organisation or one of its roles.

RezetHub checks the record about every 15 minutes and raises tasks for:

  • a consignment that has arrived and is waiting to be received (… is waiting to be received). This applies only to consignments recorded in your own organisation, not ones another organisation sends you;
  • a run that is ready to seal;
  • a run that has stayed open too long;
  • a batch that has not been weighed, in organisations that process material;
  • an email to your inbound address that is not filed against a record, an email the assistant cannot read, and a lead or call to review, where your organisation uses the Email or Phone Assistant.

Each task is closed automatically when its reason clears, for example when the consignment is received or the run is sealed.

When a task passes its due while still open, it becomes Overdue and moves up to the next role: from operator to supervisor, and from supervisor to administrator.

The panel What the record hands out on its own shows, for each kind of task, When it is raised, who It goes to, how long they have (Answer within), and who it goes to If nobody answers.

Out of the box, the main rules are:

When It goes to Answer within If nobody answers
A consignment arrives to be received Operator 24 hours Supervisor
A run is ready to seal Supervisor 2 days Organisation admin
A run stays open past 7 days Supervisor 2 days Organisation admin
A batch goes unweighed past 24 hours Operator 24 hours Supervisor
An email arrives at your inbound address Supervisor 24 hours Organisation admin
An email arrives that the assistant cannot read Supervisor 24 hours Organisation admin

An organisation administrator can change them with Change the rules:

  1. Choose Which tasks.
  2. Choose who It goes to: a role or a person.
  3. Set Answer within, in hours, and for the two “past a limit” rules, Raised after, in hours.
  4. Choose who If nobody answers, it goes to. This must be a more senior role than the one the task goes to.
  5. Press Save this rule, or Keep the rules as they are.

If RezetHub support staff are working in your account on your behalf, they can read your tasks but cannot act on any of them.
