Organisation and staff
The four roles
Section titled “The four roles”Everyone in an organisation holds one role. Recording the work and sealing it are separate acts: a seal turns working data into evidence a buyer or an auditor relies on, so it sits with the supervisor, and the role that sealed is written onto the record.
| Role | What it may do |
|---|---|
| Operator | Records the work. Opens a batch, captures, runs a job, declares outputs, receives a load. Cannot seal. |
| Operations supervisor | Everything an operator may, plus the acts an outside party relies on: seals a run or a consignment, recalls or writes one off, corrects a quantity, removes evidence, issues a passport or a certificate. |
| Organisation admin | Everything a supervisor may, plus running the organisation: people, stream profiles, and granting other organisations read access. The only role that can add a person. |
| Read-only | Sees everything recorded. Writes nothing. For a sustainability lead, a finance reviewer, anyone who reads and does not touch. |
An administrator is not automatically the right person to stand on a floor, so administration and the authority to seal are separate.
What you can reach also depends on what RezetHub has switched on for your organisation. A page your role or your organisation cannot use is not shown at all, rather than greyed out.
Settings
Section titled “Settings”Settings is in the menu under your name, for organisation administrators only. Anyone else who opens it sees Settings belongs to an organisation administrator. Ask yours for the change you need.
The menu on the left has two groups:
- Company: Facilities, People, Organisation, Read access, Integrations and Assistant.
- Reference data: Kinds of work, Vocabulary, Materials and products, Partners and Contacts.
Items your organisation does not use are left out. Nothing in Settings can change what a past record meant. Operators read this data where they use it, for example when they pick a kind of work on a run.
People
Section titled “People”Settings > People shows the roles side by side and the Roster of everyone in the organisation, with their Role, Site, Member since and Status.
Adding a person
Section titled “Adding a person”- Under Add a member, fill in First name, Last name (leave it blank for a single-name member), Email and, optionally, Phone.
- Choose a Role.
- Press Add member.
RezetHub emails them an activation link, and they cannot sign in until they open it. Until then their status is Awaiting activation. The link expires after 48 hours; Resend link sends a new one and the old one stops working.
The email address must be in one of your organisation’s Allowed domains. A mistyped address is refused rather than sent, so a stranger never receives a working invitation. Only RezetHub can change the allowed domains.
Suspending and removing
Section titled “Suspending and removing”- Deactivate stops the person signing in. They keep their seat and everything they recorded. Reinstate lets them back in.
- Remove ends their seat and their sign-in. You are asked Remove member first: Their seat and their sign-in are ended. If they hold no other organisation, their email address is released and adding it again creates a new person. Press Remove, or Keep member.
Use Deactivate for someone who is away or may return. Use Remove only for someone who has left for good.
Names, email addresses and phone numbers are kept apart from the records. The roster and the records show each person by a token, and their contact details stay in a separate store. See Your personal data.
Organisation
Section titled “Organisation”Settings > Organisation shows your organisation’s registry record: Legal name, Acts as, Home country, Data held in, Allowed email domains, Website, Address, Registered and Status, and the Sites registered to it.
If your organisation is one of several regional organisations under a group, Group view lists them. The group is a reporting convenience only. It owns no material and appears in no record, and the organisations trade with each other as ordinary counterparties.
Time zones
Section titled “Time zones”Every facility has a time zone, and times are shown in the zone of the facility where something happened. A page covering every facility groups its days and months in the main facility’s zone.
An organisation administrator changes a facility’s zone on the Facilities page with Change time zone, then Save time zone or Keep the current zone.
Read access for another organisation
Section titled “Read access for another organisation”An administrator can let another RezetHub organisation read your records, for example an auditor or a customer. They read; they never write.
- Open Settings > Read access.
- Under Grant another organisation read access, enter their Organisation handle.
- Choose What they may read. Only what your organisation holds is offered.
- Choose Until: access ends when that day ends. It must be tomorrow or later.
- Press Grant read access, check the confirmation, and press Grant read access again, or Keep editing.
They do not have to accept. Organisations reading yours lists every grant as Live, Expired or Revoked. Revoke access stops further reads straight away. What they have already read stays read, and granting again later is a new grant.
The Access log lists each read another organisation made under a grant, newest first, for the last few weeks. Earlier reads stay on your record and are not shown there. The reader is named by organisation. The person is stored as a token, and this screen never turns it into a name.
Reading another organisation
Section titled “Reading another organisation”If another organisation has granted yours read access, your menu shows Read followed by its name. While you read it, a banner says You can’t change anything here, and search and the assistant are not offered. Use Back to your organisation to return.
RezetHub staff
Section titled “RezetHub staff”RezetHub staff bring organisations onto the platform, answer support questions, switch parts of the product on for an organisation, and publish new versions of stream profiles.
To help you, a RezetHub administrator can enter a member’s account. They must record why and the case it belongs to, and that is kept permanently. While they are in a member’s account:
- they cannot act on that member’s tasks;
- they do not see what the assistant remembers about that member.
