The assistant's name and memory
Your organisation’s assistant has one name and two memories: one for the whole organisation, and one for each person. The same name and the same organisation memory are used everywhere it works: the side panel, the Email Assistant and the Phone Assistant.
The assistant’s name
Section titled “The assistant’s name”The assistant is named when RezetHub sets up your organisation. Where it has no name, the app calls it “Assistant”.
The name appears on the header button, in the side panel and on answers. The Phone Assistant introduces itself by it.
Rename the assistant
Section titled “Rename the assistant”Organisation administrators only.
- Open Settings, then Assistant (under Company).
- Click Rename assistant.
- Type the new name in Assistant’s name (up to 40 characters).
- Click Save name. To leave it unchanged, click the button that reads Keep followed by the current name.
Every member’s assistant answers to the new name from their next question. The old name stays in the organisation’s history.
What it knows about your organisation
Section titled “What it knows about your organisation”This is a list of short entries that every member’s assistant reads before it answers. The Email Assistant and the Phone Assistant read it too. That is where they learn, for example, which materials you generally take.
An entry is context, never an instruction. It gives the assistant no new tool, allows no change and skips no approval.
- At most 50 entries, each up to 280 characters.
- Every member can read the list on their profile. Only an organisation administrator can change it.
- A deleted entry is gone. No history of it is kept.
Add, edit or delete an entry
Section titled “Add, edit or delete an entry”Organisation administrators only, under Settings, Assistant, in the section What … knows about your organisation:
- Add to memory: type the entry under What should … know? and click Add to memory. Discard draft throws it away.
- Edit: change the text and click Save entry, or Discard changes.
- Delete: the confirmation says the assistant “will no longer know this for anyone in your organisation”. Click Delete from memory to delete it, or Keep it.
When the memory already holds 50 entries, nothing more is added until you delete one.
The assistant can also offer to remember something for the organisation during a conversation. It shows this as a plan step (“This remembers … for your organisation. Every member’s assistant will know this.”), which an administrator approves with Proceed. Only administrators are offered this step.
What it remembers about you
Section titled “What it remembers about you”As you work with it, the assistant saves short notes about how you work, such as the unit you think in or the site you usually work at. It saves them without asking, and says so in its answer with a Saved to your memory link.
- Nobody else can read your list, administrators included.
- It is your own, for each organisation you belong to.
- It saves only notes about how you work, never facts about the records or about anybody else.
- At most 50 entries. When it is full, the assistant tells you it could not save, rather than dropping an older entry.
Your personal memory is used only when you are the one asking. It is never used to answer an email or a call from someone outside.
See and delete your entries
Section titled “See and delete your entries”- Open your profile (the Saved to your memory link goes straight there).
- The section What … remembers about you lists every entry with when it was saved.
- Click Forget beside an entry to delete it.
- To delete them all, click Forget everything. The confirmation says this cannot be undone. Click Forget everything again to confirm, or Keep my memory.
Your profile also shows the organisation’s memory, read-only. An administrator sees a Change it in Settings link there.
